The five stages from first call to live system

Every setup follows the same process regardless of complexity. The timescales change depending on how much is being built, but the steps are always the same.

Discovery call (15 minutes). A conversation about your business, your pain points, and where time and money are being lost. This is where the scope of the automation is identified and the ROI is estimated. No commitment required. You walk away with a clear picture of what's possible and what it would cost.

Scoping and proposal (1 to 3 days). Based on the discovery call, a written proposal is prepared with the exact scope, the deployment fee, the monthly retainer, and the expected ROI. Nothing proceeds until you've reviewed it and agreed. This is the point where the deployment fee band is confirmed.

Build (3 days to 3 weeks). This is the bulk of the work, and it's done entirely by your automation partner. You may need to grant access to your existing tools (calendar, CRM, accounts software) and answer a few specific questions about how your processes work. Beyond that, your involvement is minimal. Your business runs normally while the system is being built.

Testing and approval (1 to 3 days). The completed system is tested thoroughly before it touches your live operations. You see it working, confirm you're happy with how it behaves, and approve the go-live. Nothing goes live without your sign-off.

Go live and handover (same day). The system is switched on. From this point, it's handling the tasks it was built for. You get a clear walkthrough of what's running, how to check on it, and who to contact if you have questions. The monthly retainer starts from this date.

How much of your time does it actually take?

This is one of the most common concerns, and the answer is reassuring. Most business owners spend less than 2 hours total on the entire setup process.

The 15-minute discovery call is the biggest single time commitment. After that, you might spend 30 minutes granting access to your tools and answering a few questions about how your business operates. There might be one or two brief check-ins during the build. That's it.

The design, build, integration, testing, and deployment are handled entirely by your automation partner. You don't need technical knowledge. You don't need to learn new software. You don't need to set aside a day for training. The system is built around how you already work, not the other way around.

Your business doesn't stop while the system is being built. Everything carries on as normal throughout the setup period. The automation is built and tested in parallel with your existing operations. When it goes live, the transition is immediate. There's no downtime, no switchover period, and no disruption to your customers.

When will I see results?

Time savings are usually visible within the first week. The tasks the automation now handles simply stop appearing on your to-do list. Scheduling happens without you. Follow-ups go out without you. Data moves between systems without you.

Financial returns take a little longer to quantify because they depend on leads being captured and converted. Most businesses can put a clear number on recovered leads within 4 to 8 weeks. By the three-month mark, you'll have enough data to see the full picture of what the automation is delivering.

What happens after go-live?

The setup is the beginning of the partnership, not the end of it. Your monthly retainer covers everything needed to keep the system running and improving.

Every month, the system gets a health check. If anything needs adjusting, up to 2 hours of tweaks are included in the retainer. You have next-working-day support if something comes up. Every quarter, you receive a performance summary showing what the automation has delivered.

At six months, there's a formal review. Actual results are compared to the estimates from the discovery call. If the automation is delivering as expected, the partnership continues. If anything needs reworking, it gets reworked. The retainer is adjusted if the value has changed. You're never left managing the system alone, and you're never paying for something that isn't delivering.
